Job Description

Epiq is seeking a professional, articulate, customer-service oriented individual to support reception/concierge coverage in a law firm environment.

Job Summary

Provide reception or other services defined or outlined in EPIQ’s service agreement with client.
Provide support for miscellaneous requests and flex services with a “can do” attitude and philosophy
Maintain a positive team-player mentality
Accurately communicate with client staff and EPIQ team members regarding commitments, deadlines, challenges, requests, etc.
Deliver on service commitments in a timely and accurate manner
Invest proper effort and QC approach to deliver highest quality work and service
Comply with EPIQ’s standards of operations as set forth in the contract agreement, the site operations manual, and the employee handbook
Expected to uphold the Standards of Service and best practices developed by EPIQ

Reception

Responsibilities:

Work closely with the client's staff to ensure seamless day‐to‐day operations as the first line of contact with the client's visitors.
Maintain positive and professional manner when dealing with internal and external clients. Adhere to professional standards in appearance and dress.
Greet and welcome clients and visitors; call to announce their arrival and direct such parties in accordance with firm policies; notify supervisor of difficult situations.
Pre-register guests and ensure the security of the work place by notifying Building Security or supervisor of unwanted guests in the firm. Provide clearance for non-registered guests as appropriate.
Answer incoming external and internal calls. Provide information and assistance as appropriate.
Take accurate and complete messages for those employees who are unavailable
Maintain neatness of lobby and reception area.
Book and confirm conference rooms for internal and external clients, including food and refreshment orders and additional IS requirements using the firm’s booking system.
Monitor conference room activity and communicate with appropriate departments to facilitate restocking and daily clean-up.
Update daily visitor calendar and advise manager and/or administrative services of upcoming events and visitors who may require administrative assistance and/or IS support.

General

Monitor and listen to clients to understand inquiries and requests in order to provide accurate information about the facilities and office services with prompt assistance.
Follow established guidelines and procedures for receiving, documenting, organizing and mailing out client packages (i.e. parcel deliveries, messenger services, etc.)
Provide administrative assistance to attorneys and legal administrative assistants, to include but not limited to, printing documents, e-mails, scanning documents, faxing, minor edits to documents and fed-ex labels.
Complete various administrative projects as assigned.
Due to the cyclical nature of the industry team members may be required to work varying schedules to reflect the business needs of the firm.

Qualifications

High school diploma or GED required
Minimum of 1-year professional level work experience
Willingness and ability to learn new skills

Preferred Qualifications

College Degree
One plus years of receptionist or administrative experience working in a law firm or corporate environment
Experience with automated telephone and office directory systems.

Job Requirements

Interpersonal skills necessary in order to communicate by telephone and in person with visitors, attorneys and staff to provide information with ordinary courtesy and tact.
Ability to learn skills quickly
Flexibility in dealing with simultaneous projects
Attention to detail
Ability to remain pleasant and accommodating at all times. Work occasionally requires a high level of mental effort and strain when answering a high volume of telephone calls and performing essential duties.
Ability to lift or move 40 lbs. or greater
Fine and/or gross motor skills, including the ability to grasp, lift and/or carry or otherwise move packages on a standard wheeled cart with a load capacity of 100 lbs.
Ability to walk, bend, kneel, stand, and/or sit for an extended period of time
Manual dexterity required for operating office machinery (phone, copy machines, binding equipment, etc.)
Working knowledge of Microsoft products pertaining to the specific position including but not limited to Outlook, Word, and Excel etc.
Oral, written and visual communication skills to convey understanding.
Able to listen to and understand information and ideas presented through spoken words and sentences
Able to speak clearly so listeners understand, identify and understand the speech of another person
Excellent organizational skills
Strong initiative required; ability to work independently with minimal direct supervision
