We are actively seeking an Executive Assistant to represent and assist the CEO. In this role you will be responsible for producing, organizing, and maintaining sensitive information to enhance the CEO’s effectiveness. The incumbent will oversee development of the administrative staff through the dissemination and completion of projects, as well as the day to day operations of the office including handling customer care and inquiries, equipment evaluation and maintenance, information and report analysis, and executive’s appointment and meeting scheduling. A driving force behind daily operations and company success, this unique opportunity will allow the incumbent to deliver quality results and foster an effective, enhanced and collaborative work environment.

Principal Duties And Responsibilities

Manage the day-to-day operations of the office.
Transcribe, format, input, edit, retrieve, copy, and transmit text, data, and graphics information.
Maintain executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
Organize and maintain files and records; secure information by completing data base backups.
Welcome guests and customers warmly by greeting them, in person or on the telephone, and answer or direct inquiries.
Maintain customer confidence and protect operations by keeping information confidential.
Complete projects by assigning work to administrative staff and following up on results.
Collect and analyze information to prepare reports.
Provide historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
Ensure operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
Contribute to team effort by accomplishing related results as needed.

Experience, Skills And Abilities Required

Mimimum of 5 years’ experience as an Executive Assistant, preferably to the C-Suite
Excellent mastery of Microsoft Word, Office, and Excel
Attention to detail, problem solving and strong critical thinking skills required
Excellent time management skills and ability to multitask and prioritize work
Excellent communications skills
Ability and desire to work independently and take initiative
Bachelor’s degree from a college or university required
Real Estate background preferred
